- Communications: Manage and screen calls, emails, and messages, prepare and send communications to parents and staff, provide information to prospective families, and support communication within the school community.
- Task Management, Operational Execution, and Assistance to School Director: Break down projects into actionable steps, monitor progress, delegate tasks, and assist with scheduling to support operational flow and protect the director’s focused time.
- Operational and Administrative Support: Managing meetings, records, the director’s schedule & tasks, staff training, visits, reports, and day-to-day maintenance..
- Enrolment and Student Support: Coordinate and administer enrolment and registration, maintain accurate records, assist with school events and activities, and keep staff, student, and parent birthday calendars updated.
- Record-Keeping: Maintain organised shared drives and filing systems, ensuring student records, enrolment documents, attendance registers, staff files, and the school’s contact database are accurate and up to date.
- Classroom and Logistical Support: Assist with receiving and managing supplies, obtain supplier quotations, prepare and organise teaching resources, and support teachers with logistical needs.
- Payroll and Human Resources: Maintain accurate payroll records, assist with staff recruitment and onboarding, and track staff training to support professional development.
- Debtors and Basic Bookkeeping: Manage invoicing and accounts, communicate policies and operations with staff, monitor task progress, and foster a cooperative team environment aligned with Liberté’s values.
- Compliance: Coordinate activities to maintain compliance with regulations and policies, schedule and support emergency drills, and update and document policies as needed.
- Maintenance: Schedule and track maintenance tasks, coordinate space planning and renovation projects, and organise maintenance of safety equipment and resources to ensure functionality and safety.
- Confidentiality and Discretion: Maintain confidentiality in all matters, handle sensitive information with care, reflect Liberté’s values in communications, and foster a culture of trust and respect within the school community.
Qualification in office administration or a related field.
Interpersonal and Problem-Solving: ability to quickly identify and resolve day-to-day challenges that might arise, manage multiple tasks and adjust to changing priorities in a dynamic environment. Additionally, high emotional intelligence, including empathy and understanding, is vital for effectively interacting with children, staff, and parents.
Computer Literate: Ability to work with online/cloud-based communication and collaboration tools (e.g. Gmail and Google Calendar, Whatsapp, Xero, Asana, ChildCloud and other Task, CRM, & School management and Information systems, etc.)
Administration: Excellent organisational skills and attention to detail. Excellent record–keeping and time-management skills with a proven ability to meet deadlines. Ability to prioritise tasks and delegate them when appropriate.
Communication: Professional and comfortable communicating with parents, colleagues, management, and children. Excellent listening skills and strong verbal and written communication skills.
Collaborative & Team Work: A team player with excellent interpersonal skills. Ability to work independently with minimal supervision.
